Company name and legal trading name
Business email address
EU VAT registration number
Country of operation
Business type (retailer, distributor, reseller, etc.)
Estimated monthly purchasing volume
Product categories of interest
Any additional information you include in your message

We do not collect payment information, personal identification documents, or any sensitive personal data as defined under GDPR Article 9.

3. How We Use Your Data

We use the data you submit for the following purposes:

Trade partner qualification — to assess whether your business is a suitable B2B partner for Vistar Venture
Business communication — to contact you regarding your application, pricing enquiries, and product availability
Operational records — to maintain records of our business relationships and transactions

We do not use your data for: unsolicited marketing, profiling, automated decision-making, or any purpose other than the B2B trading relationship you initiated by submitting the form.

4. Legal Basis for Processing

We process your data on the following legal bases under GDPR Article 6:

Legitimate interests (Article 6(1)(f)) — processing your application and managing the B2B trade relationship
Pre-contractual measures (Article 6(1)(b)) — taking steps at your request prior to entering a contract

We do not sell, rent, or share your personal data with third parties for marketing purposes. Your data may be shared only with:

Web3Forms (web3forms.com) — our form processing service, which transmits your submission to our email. Subject to their own privacy policy.
Our logistics and supply partners — only when necessary to fulfil an active trade order, and only data relevant to that order
Legal or regulatory authorities — if required by law in Portugal, Spain, or the EU

6. Data Retention

We retain your data for as long as necessary to manage our business relationship with you, and in compliance with Portuguese commercial law (minimum 5 years for business records). If your application is declined and no business relationship is established, we will delete your data within 12 months of receiving it.
